The Executive Personal Assistant will be an initiative-taking problem solver with exceptional communication skills and meticulous attention to detail, providing personal and professional assistance to the CEO. We are looking for someone who can empower the CEO to perform at her absolute best not just in her role as CEO but in every part of her life.
ABOUT YOU:
You have a bachelor’s degree and a minimum of 5 years experience providing both executive and personal support
You are extremely polished and always professional
You’re sensitive to the time pressures of our CEO’s life and are able to look out for and protect her time and energy
You recognize the patterns and rhythm of her work and can anticipate her needs. You use this knowledge to constantly make tasks and processes flow more fluidly and with greater momentum.
You are an independently driven self-starter with a sense of ownership over your work and a dedication to service
You uphold extraordinarily high standards in the midst of rapidly switching contexts while driving multiple deliverables and ever-shifting priorities.
You are able to maintain 100% confidentiality and discretion
You are tech savvy and extremely proficient with Google Suite, Slack, ClickUp, LastPass or similar programs with the ability to learn new or updated software.
RESPONSIBILITIES & DUTIES:
Ensure the CEO is up to speed and ready for the day.
Provide sophisticated calendar management balancing the CEO’s professional and personal calendars seamlessly
Liaise with Marketing and Sales regarding materials needed for meeting, conferences, and events
Provides high-level administrative support
Arrange business and personal travel (domestic and international)
Serve as the primary point of contact for all matters relating to the CEO
Draft, proofread and edit documentation
Process travel expenses, and reports.
Perform other duties as assigned.

Office Manager Duties:
Provide direct administrative support as needed, including scheduling appointments, meetings, and events, booking travel, and maintaining a filing system (data entry, physical & digital mail engagement, report creation)
Provide support to bookkeeper
Call & Coordinate with banking & technology service providers
Implement financial business procedures
Coordinate with building admin, & service providers
Develop standard office procedures for the company
Assist with filling management legal document gathering & preparation
Acts as a point of contact to capture team ideas and move them through the vetting process
Assist in the preparation of presentation material, proposals, qualification statements, business plans, and various other deliverables as needed by the CEO.
